Count your cadence before you compare plans
Free tiers fail for a predictable reason. The limit you hit depends on your posting rhythm, not your follower count.
A plumber posting three times a week needs about thirteen scheduled slots a month. A coffee shop posting daily needs roughly thirty. Write both numbers down before comparing plans.
Two channels posted daily is sixty slots a month. Test that figure against the cap.
Upgrade pricing in pounds, and the seat trap
Paid tiers are quoted per seat per month, usually excluding VAT. Compare monthly and annual figures side by side. The annual rate is lower but commits you for twelve months.

Worked example with an assumed price. Suppose the paid tier is £18 per seat per month excluding VAT and you need two seats. That is £36 a month, or £432 a year, before VAT. Replace £18 with the figure on the vendor's checkout page.

Set the switch trigger before you pay. A gated selection checklist fixes the subject and evidence you need. That keeps the decision reversible if a free plan changes its limits.
Data duties that do not change with price
You are a data controller for personal data sitting in your scheduler, free plan or paid. The advice for small organisations from the ICO covers lawful basis, records and responding to individuals.
Scheduling marketing messages to named individuals brings the Privacy and Electronic Communications Regulations into scope. The ICO's direct marketing guidance explains consent and the soft opt-in for electronic mail.
Paid promotion sent through the same tool must still be identifiable as advertising, which the CAP Code covers.
A four-step test before you commit
Run the same test on every shortlisted tool.
- List the channels you will genuinely post to, then delete the rest.
- Count the posts those channels need in a typical month, including holiday cover.
- Read the free cap in the vendor's own units and check when it resets.
- Schedule two weeks ahead, then note every workaround you had to perform.
Match the free tier to a written schedule
Write the schedule before you shortlist anything. A content calendar template holding your posting days, channels and approval points turns a vague plan into a slot count you can test against a free cap.
Then run it for two weeks and track missed slots, failed posts and the time spent working around the limit.
When free stops being the cheaper option
Free stops working when the workaround costs more than the seat. Rebuilding a queue every ten days, or chasing a colleague for a shared login, has a time cost.
Value your own hour, multiply it by the monthly workaround time, then compare the result with the seat price plus VAT.
A workaround that takes two hours a month is a real cost even when the invoice is zero.
